Acceptable Use Policy

ExpenseDuck requires that everyone use the Service responsibly so it stays safe, compliant, and reliable for all users. This Acceptable Use Policy applies to the ExpenseDuck website, applications, tools, and related services (the "Services"). By using the Services you agree to this Policy, which is part of the User Agreement. The examples described below are not exhaustive.

1. Prohibited conduct

When using the Services, you may not:

  • Promote hate, violence, or discrimination based on race, ethnicity, color, national origin, religion, age, gender, gender identity, sexual orientation, disability, medical condition, or veteran status.
  • Engage in or facilitate illegal conduct, or violate any local, state, national, or international law or regulation — including laws concerning data protection, privacy, and tax or financial reporting.
  • Infringe the privacy or intellectual property rights of others.
  • Falsely represent your identity or affiliation, including implying endorsement by ExpenseDuck.
  • Access another user's account without permission.
  • Collect personal information about others without their consent, including by scraping or harvesting.
  • Disrupt the operation, security, or integrity of the Services, including attempting to disable, overload, or circumvent technical protections.
  • Upload malware, viruses, worms, or any other malicious or harmful code.
  • Use bots or scrapers that exceed reasonable, human-scale use of the Services.
  • Attempt to reverse engineer or access the underlying source code or structure of the Services.
  • Use the Services to harm minors, or target individuals under 13.
  • Misrepresent or disparage ExpenseDuck, its employees, its partners, or its affiliates.
  • Authorize or encourage anyone else to do any of the above.

2. Prohibited content

You may not upload, store, or display content that includes:

  • Material promoting hate, violence, or discrimination.
  • Obscene, defamatory, fraudulent, deceptive, pornographic, or otherwise unlawful material.
  • Content that violates the law or encourages illegal conduct — including content intended to violate tax laws, IRS regulations, or documentation requirements (for example, fabricated expenses, mileage, or receipts).
  • Material that infringes trademarks, copyrights, trade secrets, or other intellectual property rights.
  • Sensitive personal information beyond what the Service is designed to handle — do not upload government identification numbers (Social Security, passport, or driver's license numbers), other people's full credit card or bank account numbers, HIPAA-protected medical records, special categories of personal data as defined under the EU/UK GDPR, or information about children under 13 (or 16 where applicable law requires). (Your own transactions, receipts, and mileage — imported or captured through the Service's intended features — are of course what the Service is for.)
  • Malicious scripts or executables that could damage systems.
  • Spam or unsolicited commercial messages.

3. Monitoring and enforcement

ExpenseDuck reserves the right to monitor and investigate use of the Services to ensure compliance with this Policy, the User Agreement, and applicable legal requirements. If we determine a violation has occurred, we may suspend or terminate your access to the Services, remove content, or take any other action we deem appropriate — without notice or liability.

4. Updates to this Policy

We may revise this Policy by posting updates at expenseduck.com/acceptable-use. Updates take effect upon posting, and continued use of the Services constitutes acceptance of the modified Policy. Please review it regularly.

5. Reporting violations

Report suspected violations of this Policy to support@expenseduck.com.
